Post this taskWhat to know about admin and personal assistant help
The taxonomy calls this admin; almost everyone searching for it types personal assistant. It covers two arrangements that look similar on a list and are not the same hire. One is someone in the room: paperwork sorted and filed, post and parcels, appointments, errands, a queue somebody has to stand in, the administrative half of a move or a small office. The other is someone remote: inbox and calendar, data entry, transcription, research, listings, the follow-ups you keep meaning to send. Say which of the two you want in the first line, because the rate, the availability and the shortlist are all different.
This is also the one category on this page family where location barely matters, and pretending otherwise would be dishonest. Most of the work is a laptop, a spreadsheet and an agreed set of hours, and it can be done as well from another city or another time zone as from the next street. Four things genuinely need a person nearby: paper that must be collected, signed, scanned or filed; a line somebody has to physically stand in; things that have to be photographed, packed and posted; and the in-person half of an office or a house move. For everything else, judge the work rather than the postcode, and ask about overlap hours instead of distance.
What deserves real thought is access, because this is the category where you hand somebody your calendar, your inbox and sometimes your files. The rule that keeps it simple is to grant access rather than credentials: a shared calendar rather than the account, a delegated inbox rather than your password, one folder rather than the whole drive, an account of their own that you can switch off in a second. Agree at the start what happens to the files and the access when the work ends, and then actually do it on the day. If the material holds other people’s personal information — clients, staff, tenants, patients — that responsibility is yours and it does not transfer to whoever you hire, so say in the task what may be copied, stored or kept.
Price follows the unit that describes the work, which is why vague tasks get vague offers. Data entry is quoted per record or per hour and needs three things to be quotable: a sample of the source, the destination it is going into, and a definition of what counts as finished. Typing and transcription go by the page or the audio minute, and the number of speakers and the quality of the recording move it more than the length does. Research is priced per question and should specify the format the answer arrives in. Assistant time goes by the hour or by the week. The single most reliable way to hire here is a small paid first task with one checkable output before anything ongoing is agreed.
Finally, what admin is not. HR services in this list means the paperwork of employment — keeping records in order, formatting a policy to a template, scheduling interviews, chasing references. It does not mean employment advice. Employment law sets real obligations on hours, pay, records and how an employment relationship ends, and getting those wrong is expensive in a way no filing system fixes; that reading comes from an employment lawyer. The same shape holds for anything tax or immigration: an assistant can gather, sort, name, format and submit, and the professional opinion still has to come from a professional.

What moves the price
- The unit — per record, per page, per audio minute or per hour
- How clean the source is: a tidy export and a scanned photocopy differ enormously
- Whether the work needs judgement, or only accuracy
- Turnaround, and whether it has to happen inside your working hours
- Whether any of it is in person, which turns travel into part of the cost
What to settle before you hand anything over
- Exactly what finished looks like, with one real sample if you have one
- Whether this is one task, a few hours, or an ongoing arrangement
- Which accounts are needed, and the narrowest access that does the work
- Whether the files hold other people’s personal information
- What happens to the files and the access when the work ends
A small paid first task with one checkable output tells you more than any amount of reading.

Questions
Frequently asked
Answers to what people actually search for.
What is the difference between a personal assistant and a virtual assistant?
Where they are. A personal assistant is with you or near you, for errands, paper, appointments and anything needing a body in a place. A virtual assistant works remotely on your inbox, calendar, files and follow-ups. Many people want both — they are two arrangements and two rates.
How do I hire an assistant without handing over my passwords?
Grant access rather than credentials. A shared calendar rather than the account, a delegated inbox rather than your password, one folder rather than the drive, or a login of their own you can switch off. Agree up front what is revoked when the work ends, then do it that day.
How is admin work priced?
By the unit that describes it: data entry per record, typing per page or audio minute, research per question, assistant time by the hour or the week. The most useful thing you can attach is one real example of the source material and a plain definition of what finished means.
Can an assistant handle HR or employment paperwork?
The paperwork, yes — records kept in order, a policy formatted to a template, interviews scheduled, references chased. Advice, no. Employment law sets real obligations on hours, pay, records and termination, and that reading belongs to an employment lawyer rather than an administrator.
Does it matter where they are?
For most of this work, honestly, no — it is done on a laptop and the hire should be judged on the work. It matters when something must be signed, collected, scanned, queued for in person or posted. Say in the task which of the two kinds you have, and ask about overlap hours.
What is the safest way to start with someone new?
One small paid task with a real, checkable output — an afternoon, one deliverable. It shows you accuracy, the questions they ask before starting, and how they communicate when something is ambiguous. That costs far less than a month of an arrangement that was never going to work.
